Mailing Guidelines

Have a question about bulk or nonprofit mail guidelines or other general postage queries? Below we have listed some guidelines and direct mail FAQs that are commonly asked by our customers.

USPS Bulk mail guidelines

Below, we’ve listed some simple guidelines to follow when sending bulk mail:
  • Bulk mail includes advertising mail, printed matter and merchandise weighing <1 pound.
  • Bulk mail cannot be fully personalized—such as a bill or statement.
  • Bulk mail can be  personalized—such a letter with limited types of data (name, gender, donation request etc.) embedded into the document.
  • Bulk mail must consist of 200 pieces (or 50 pounds), though The Mail Haus can combine smaller mailings to reach 200 pieces. If mailings are combined, it is best if the indicia is not on the mail piece.
  • All bulk mail pieces must be in the same category (all letters, all flats, etc.).
  • The correct Zip Code must be on each piece of bulk mail. List should be updated every 3 months.

Nonprofit guidelines

Listed below are some basic guidelines for nonprofit mailings:
  • First, determine if your mail piece is “Bulk Mail” by reviewing bulk mail guidelines above. Once you have determined that it meets the requirements, follow the steps below.
  • Nonprofit mailing MUST contain matter relating to the nonprofit group doing the mailing. You CANNOT combine “for profit” and “nonprofit” material and send out as nonprofit—it must go at “for” profit rates. An example is a mail piece advertising a business in their newsletter to defer cost. You can acknowledge contributors/donors in a designated area in the newsletter, but you cannot advertise their service, print address or telephone numbers.
  • Return address stating the name and address stated on the Nonprofit Authorization form must be on the piece or stated boldly on the inside of the mail piece. It is best to have a return address on the mail piece.
  • If a product is sent, it must be low cost (<$6.75 in value), donated, or periodical.
