Mailing Guidelines

There are many different questions our customers ask when they are preparing for a mailing. At the Mail Haus we have several mailing services to suit your needs, and we're ready to answer any questions you may have about your mailing. Many of our customers ask us about postage prices, choosing the best mailing service, or adding additional protection and/or services to their package.

Below we have listed some guidelines and questions that are commonly asked by our customers.

Bulk Mail Guidelines

  • Includes advertising mail, printed matter and merchandise weighing <1 pound.
  • It can not be personalized such as a bill or statement.
  • It can be personalized such a letter with an inside return address and limited types of data embedded into the document.
  • It must consist of 200 pieces (or 50 pounds), though The Mail Haus can combine smaller mailings to reach 200 pieces. If mailings are combined, it is best if the indicia is not on the mail piece.
  • All pieces must be in the same category (all letters, all flats, etc.)
  • The correct Zip Code must be on each piece. List should be updated every 6 months.

Non Profit Guidelines

First, determine if your mail piece is "Bulk Mail" by reviewing Bulk Mail Requirements above. Once you have determined that it meets the requirements, follow the steps below.

Each group that is part of the bulk mail MUST be registered as Non-Profit Organization at the Post Office.

Non-Profit mailing MUST contain matter relating to the Non-Profit group doing the mailing. You CANNOT combine "for profit" and "non-profit" material and send out as non-profit. It must go at "for" profit rates. An example is a mail piece advertising a business in their newsletter to defer cost. You can acknowledge contributors/donors in a designated area in the newsletter, but you can not advertise their service or print address or telephone numbers.

Return address stating the name and address stated on the Non-Profit Authorization form must be on the piece or stated boldly on the inside of the mail piece. It is best to have a return address on the mail piece.

If a product is sent, it must be low cost (<$6.75 in value), donated, or periodical.
